Inside an institution
The user list with its document counters, the row actions, adding a user, and the Info tab.
Institution Users
Clicking the arrow beside an institution on the licences page opens the institution itself. It has two tabs: Users and Info.
The Users tab
Every user account inside the institution is listed here, with a Search by Email box for finding one quickly.
Name, Email and Expiry date — sortable.
Status — a green dot for Active, red for Inactive.
Statistics — opens that user's submission chart and trend analysis, covered in user statistics.
Plagiarism — three figures side by side: allotted, consumed, remaining. Hover any of them to see its label.
Actions — the controls described below.
Reading the Plagiarism column. The three figures are unlabelled on screen, but hovering each one names it. In order they are Documents allotted, Documents consumed and Documents remaining. A user showing 5 · 5 · 0 has used their whole allowance and cannot submit again until you increase it.
Row actions
Edit (pencil) — change the user's name, department, designation, phone, expiry date and allocated documents.
Make admin (person) — hands the institution's administrator role to that user.
Resend credentials (key) — emails the sign-in details again, for someone who never received or has lost them.
Active switch — deactivates the user. Their submissions and reports are kept; they simply cannot sign in.
Make admin is a transfer, not a promotion. The user you choose becomes the institution's administrator and the previous administrator is demoted to an ordinary user. There is only ever one admin per institution, so use this when a co-ordinator leaves rather than to grant a second person admin rights.
The current administrator's own row is different. It shows only Edit and Resend credentials — no make-admin control and no active switch. You cannot deactivate the institution's administrator or hand them a role they already hold. To replace them, promote someone else first; they then become an ordinary user with the full set of controls.
Adding a user
The + button in the bottom-right corner adds a user directly, without the institution's own administrator having to do it. Three fields are required — Enter name, Email address and Allocate documents — along with Select expiry date, which is prefilled with the institution's licence expiry. Department, Designation and Phone number are optional.
The form tells you what is left. Beneath Allocate documents it shows a note such as Document remaining: 42 — the institution's unallocated balance. You cannot give a user more than this without first increasing the institution's own allocation from the licences page.
The Info tab
Selecting Info replaces the user list with a read-only summary of the institution's licence. Selecting Users switches back; nothing is lost either way.
The summary holds eleven rows: License Id, Institution Name, Co-ordinator Name, Email Address, Location, Start Date, Expiry Date, Account manager, Users, and — most usefully — Documents allotted against Documents consumed.
That last pair is the figure to check before promising an institution more capacity, and the one to quote when they ask why their users can no longer submit.
